Job Description: The Administration Assistant will provide essential support to the operations and management teams, ensuring the smooth running of daily administrative tasks within the solar and air source heat pump division. You will play a vital role in assisting with project coordination, customer service, documentation, and maintaining effective communication with various stakeholders.
Key Responsibilities:
- Office Administration: Manage office supplies, equipment, and records to ensure smooth daily operations.
- Customer Support: Respond to customer inquiries via phone, email, and in person, providing accurate information regarding solar and heat pump products, services, and installation processes.
- Project Coordination: Assist with scheduling and organizing installation dates for solar panels and air source heat pumps, ensuring that all necessary paperwork is completed on time.
- Documentation and Reporting: Prepare and maintain project documentation, including contracts, invoices, permits, and compliance certificates.
- Data Entry and Record-Keeping: Input project details, client information, and installation schedules into company databases and spreadsheets.
- Communication: Liaise with suppliers, contractors, and customers to ensure smooth communication throughout the project lifecycle.
- Health and Safety Compliance: Assist with maintaining safety records and documentation, ensuring compliance with relevant health and safety regulations.
- General Administrative Support: Assist with other office tasks as required, including scheduling meetings, preparing reports, and assisting the senior management team.
Skills and Qualifications:
- Previous experience in an administrative role, ideally within the renewable energy, construction, or engineering sectors.
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general office software.
- Knowledge or interest in renewable energy technologies (solar and air source heat pumps) is a plus.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong attention to detail and a high level of accuracy in administrative tasks.
- Ability to handle sensitive and confidential information with discretion.
