Job Description

Brief overview of the role

Densham Surgery are looking for a Medical Receptionist, which combines the traditional role of Receptionist with the role of Administrator. You will be operating day to day duties on the computerised appointment system.

What will the apprentice be doing?

Responsible to the Practice Manager, the apprentice will be undertaking a variety of duties to ensure the smooth running of the surgery, some of which include:


  • Operate day to day duties on the computerised appointment system
  • Receiving patients and making appointments with doctors, nurses and attached primary care staff
  • Making Remote appointment bookings into the 7 day extended hours Service, H and SH
  • Answering the telephone and dealing with appointments and enquiries
  • Accepting requests for and handing out prescriptions
  • Registering patients for SystmOnline Services
  • Gaining patients Data Sharing consent status for the New Model of Share – SystmOne


  • Booking Interpreters and liaising with patients
  • Setting up electronic referrals to Community Services i.e. phlebotomy, District Nursing etc.
  • Dealing with cash receipts
  • Managing personal NHS Mail Accounts
  • To assist secretary with patient related queries regarding hospital appointments etc.
  • Set filing
  • Processing of repeat prescriptions in line with the practices repeat prescribing protocol (ETP)
  • Entering data onto the clinical system
  • Ensuring quality data input in line with current read code guidelines
  • Administration duties attached to Practice Generic email account/workflow discharge summaries and A and E reports etc.


  • Accepting path lab samples and completing appropriate path lab forms to be sent to North Tees Pathology Laboratory
  • Electronic ICE requesting of pathology tests
  • Undertaking admin duties around INR testing
  • Recording and sending of pathology samples to North Tees Pathology Laboratory
  • Giving out results to patients via Pathology Links after 3pm


  • Opening of morning incoming internal mail, date stamping and placing in doctors’ trays
  • Dealing with outgoing post – external mail
  • Scanning incoming internal mail using electronic document workflow to clinicians

What training will the apprentice take and what qualification will the apprentice get at the end?

  • Level 3 Business Administrator.
  • Functional Skills maths and English, if required.

What is the expected career progression after this apprenticeship?

  • The ideal candidate will be willing to undertake training as directed by the Practice Manager for this particular post.
  • Long-term goal: multi-skilled workforce.

Working week

37 Hours, Monday – Friday between the hours of 8.30am – 5.00pm.

Things to consider
