Job Description

Brief overview of the role

Huntcliff School – To provide an efficient and effective clerical and administrative support service to the school staff and students. As this is an apprentice post the job holder will be required to work in various areas throughout the organisation to develop skills, knowledge and experience in all aspects of administration.

What will the apprentice be doing?

In this role, time will be split working between the main admin office and also on the school reception.

To efficiently undertake basic administration and clerical duties which may include the following duties as directed:

  • To answer/deal with queries, both face to face and via the telephone from students, parents/carers and staff, taking messages and passing them on to the relevant person in an appropriate and timely manner.
  • To use computer software, e.g. Microsoft Word, Excel and the school MIS system to input data, retrieve information and obtain/collate reports.
  • To chase up outstanding information with staff, parents/carers and students as needed, to assist with other department duties and responsibilities, e.g. lost property, locker keys and reprographics
  • To provide administration support to staff within the school, as required
  • To meet and greet visitors as required and accompany them to/from reception
  • To collect students from classrooms and also accompany them to reception as needed
  • To assist with the preparation for events on the school calendar, e.g. subject teacher evenings
  • To deal with internal and external post and emails on a daily basis
  • To support the team to maintain accurate, timely and legible records
  • To photocopy and file documentation, as required
  • To provide appropriate reception cover as and when required
  • To maintain and access filing systems for information in line with the organisations policies and procedures, e.g. student records
  • To be a flexible and supportive member of the team
  • To maintain strict confidentiality at all times
  • Attend and take part in team meetings & regular reviews with line manager etc.
  • To prepare for and attend assessment meetings and participate in relevant training programmes as required by the school
  • Throughout the training period the post holder will be expected to complete all education and training as required


  • Be aware of and comply with policies and procedures relating to safeguarding, health, safety and security, confidentiality and, reporting all concerns to an appropriate person
  • Be aware of and comply with data protection in accordance with the General Data Protection Regulation (GDPR) and Trust Policies
  • Contribute to the overall ethos/work/aims of the school
  • Participate in training and other learning activities and performance development as required

  • Level 3 Business Administration at Redcar & Cleveland College
  • Functional Skills maths & English if required

What is the expected career progression after this apprenticeship?

An opportunity for a full-time position at the end of the apprenticeship.

Working week

37 Hours, Monday to Friday, hours to be confirmed.
