Job Description

What will the apprentice be doing?

Job Purpose

  • To provide administrative support to the Executive Assistant
  • To provide receptionist duties for Postgate House

Main Responsibilities

  • To deal with enquiries by telephone and face to face, and ensure that they are dealt with effectively and efficiently e.g. answering routine queries and taking messages where appropriate
  • Overseeing the correct operation of the telephone network
  • To ensure that visitors to the Trust are received courteously and punctually whilst observing the appropriate security procedures
  • Dealing with enquiries from staff as appropriate
  • Routine photocopying and document collation
  • Undertaking a variety of clerical duties including filing
  • Provide cover/assistance to other members of admin as and when required
  • Book and prepare all meeting rooms in readiness for Trust meetings and CPD and provide hospitality duties
  • Ensure goods received notes are checked and updated in the Trust’s accounting system as soon as possible after receipt
  • Maintain stocks and supplies of stationery / general office equipment as required by the Trust
  • Maintain and update all first aid kits
  • To carry out your duties with full regard to the Trust’s Equality Policy
  • To comply with Health and Safety policies, organisation’s statements and procedures, report any incidents/accidents/hazards and take proactive approach to health and safety matters in order to protect both yourself and others

General Administration

  • To provide general administration support to the Trust’s officers e.g. photocopying, filing, faxing, completion of standard forms and responding to routine correspondence
  • Undertake front of house/reception duties at the Trust’s HQ; answering telephone, face to face enquiries, liaising with relevant staff, outside agencies and visitors. Providing a warm / friendly greeting to all visitors
  • Liaise with Trust leaders and other support staff to ensure effective service delivery
  • Produce reports / collate information as required
  • Undertake typing/word processing and other ICT based tasks
  • Sort and distribute mail
  • At all times to be an advocate for the Trust and its schools; acting with the highest standards of behaviour and professionalism
  • Safeguarding, Equality & Diversity and Health & Safety
  • To safeguard and promote the welfare of children for whom you have responsibility or come into contact with, to include adhering to all specified procedures
  • To carry out your duties with full regard to the NPCAT’s Equality Policy and objectives
  • To comply with Health and Safety policies, organisations statements and procedures, report any incidents/accidents/hazards and take proactive approach to health and safety matters in order to protect both yourself and others

What training will the apprentice take and what qualification will the apprentice get at the end?

Level 3 Business Administrator Apprenticeship Standard which includes:

  • Level 2 Functional Skills in maths and English (if required)
  • End-Point Assessment (EPA)
